AI automation services

AI automation for small businesses in South Africa, without the cloud bill.

We turn the admin you do by hand every week into workflows that run on their own: enquiries sorted and answered, supplier invoices captured with every sum checked, WhatsApp questions handled. On your own hardware, so your data stays yours.

What we automate

Six workflows we build most, and the seventh is yours.

Start with one. The first two run live today as demos you can try with your own examples.

Lead Catcher

Every enquiry from your website or inbox is sorted (urgent, booking, complaint, spam), urgent ones are flagged for a call-back, a reply is drafted and the whole thing is logged.

Invoice Reader

A supplier invoice, PDF or photo, becomes a ledger row. Code checks every total, the 15% VAT, the VAT number and whether you have seen it before.

WhatsApp replies

Answers the questions you get asked twenty times a day (hours, prices, directions) and hands anything unusual to you with the context attached.

Bookings and reminders

Confirmations, day-before reminders and follow-ups sent on time without anyone remembering to do it.

Reports you actually read

A short weekly summary of leads, jobs and money in, pulled from the tools you already use.

Your process, automated

If it happens the same way every week and lives in email, spreadsheets or WhatsApp, it can probably be a workflow. Built on n8n, owned by you.

How it works

Open tools, local models, and code with the final say.

Built on n8n, owned by you

Each workflow runs on its own n8n instance, the open-source automation tool, on your box or ours. You are never locked into a subscription you cannot leave.

Local AI models

A 7-billion-parameter model on a single graphics card reads an invoice or an enquiry in three to eight seconds. No cloud AI account, no per-message fee.

The AI proposes, the code decides

Every figure the model reads is checked against the document. Every reply is drafted, not sent, until you switch on auto-send for the cases you trust.

Private AI

Your customers' data never leaves the building.

Lawyers, accountants and medical practices are told not to put client information into cloud AI tools. Private AI is how they get the benefit anyway: the model comes to the data instead of the data going to the model.

  • Runs on a computer at your premises or on our hub in South Africa
  • Customer data is processed locally and never uploaded to a cloud AI
  • A POPIA operator agreement signed with every client
  • No per-use AI charges; one fixed build price and one monthly maintenance fee
  • Monitored and maintained monthly, with a one-page guide for your team

What it costs, in one sentence.

A fixed build price per workflow, a monthly maintenance fee, and nothing per message or per document, because the AI runs on hardware you or we own.

Need a website first so the enquiries have somewhere to come from? See website design and hosting. Otherwise, start with a 20-minute call.

Automation questions

The questions every owner asks before switching it on.

What does an AI automation cost?
Each workflow is quoted as a fixed build price plus a monthly maintenance fee, after a 20-minute call and a one-paragraph scope. Because the AI runs on local hardware there are no per-message or per-document fees on top.
Which businesses is this for?
Any small business drowning in repeatable admin: plumbers and electricians fielding enquiries, accountants capturing supplier invoices, gyms and salons confirming bookings, agencies triaging leads. If it happens the same way every week in email, spreadsheets or WhatsApp, it is a candidate.
Is it POPIA compliant to use AI on customer data?
It can be, and this is how we make it so: the model runs on your own hardware or our South African hub, data is not sent to a third-party AI service, access is limited to the people who need it, and we sign an operator agreement under section 21 of POPIA that sets out exactly what we do with the information.
What if the AI gets something wrong?
Small models do make small mistakes, which is why the workflow, not the model, has the final say. Numbers are cross-checked against the source document in code, contact details are validated, and anything the checks cannot confirm is routed to a person instead of being acted on.
Can I see it working before I pay?
Yes. Lead Catcher and Invoice Reader run live as demos on our own hardware. Send a sample enquiry or invoice on WhatsApp and we will show you the result on a call.
