A supplier invoice, PDF or photo, becomes a ledger row. Code checks every total, the 15% VAT, the VAT number and whether you have seen it before.

An enquiry arrives
A form on your website, an email, or a WhatsApp message: “Hi, my geyser burst this morning, can someone come today?”
The AI reads and sorts it
Urgent, booking, quote request, complaint or spam. Urgent ones are flagged for a call-back; the customer's details are pulled out.
The code checks the AI
The phone number is validated, the customer's own number is never offered back as yours, and anything the checks cannot confirm goes to a person.
A reply is drafted, logged, and waits for you
The reply sits in your queue with the enquiry logged to your sheet. One tap sends it. Once you trust a category, switch on auto-send for that one only.
Invoice Reader
A supplier invoice becomes a ledger row, with the sums checked in code.
Photo, PDF or pasted text. The AI reads it; the workflow verifies it against the document before anything reaches your books. What it checks, every time:
- Every line total and the invoice total add up
- 15% VAT is calculated correctly and shown
- The supplier's VAT number is present and well-formed
- The words “Tax Invoice” appear, as SARS requires
- The invoice number has not been captured before (no double payments)
- Amounts with South African spacing (“2 450.00”) are read as R2 450, not R450
- Anything that fails a check is held for a person; nothing is guessed into your ledger.

What does an AI automation cost?
Each workflow is quoted as a fixed build price plus a monthly maintenance fee, after a 20-minute call and a one-paragraph scope. Because the AI runs on local hardware there are no per-message or per-document fees on top.
Which businesses is this for?
Any small business drowning in repeatable admin: plumbers and electricians fielding enquiries, accountants capturing supplier invoices, gyms and salons confirming bookings, agencies triaging leads. If it happens the same way every week in email, spreadsheets or WhatsApp, it is a candidate.
Is it POPIA compliant to use AI on customer data?
It can be, and this is how we make it so: the model runs on your own hardware or our South African hub, data is not sent to a third-party AI service, access is limited to the people who need it, and we sign an operator agreement under section 21 of POPIA that sets out exactly what we do with the information.
What if the AI gets something wrong?
Small models do make small mistakes, which is why the workflow, not the model, has the final say. Numbers are cross-checked against the source document in code, contact details are validated, and anything the checks cannot confirm is routed to a person instead of being acted on.
Do I need new hardware?
Not to start. The first workflow is built and proven on our hardware. When it goes live you choose: a small box at your premises (we supply and set it up), or a private slot on our hub in South Africa. Either way your data stays in the country and off cloud AI accounts.
What happens to the automation if we stop working together?
You keep it. The workflows are built on n8n, an open-source tool, on hardware you own or can move to. We hand over the workflows, credentials and the one-page guide; nothing is locked behind our account.
